Identification required
In order for First Automotive to process an application for a Short-Term Lease vehicle the following identification is required: -
- Copy of current driving license (both sides of card) for each person who will drive the First Auto vehicle
- 1 document carrying current home address of the hirer and dated within the last 8 weeks
- At least one of these must be the bank or card statement for the card that will be used to hire the vehicle.
- The other must be a formal document (e.g. utility bill, council tax bill, HMRC letter, etc )
- Copies of mobile phone statements are not accepted
- If the current home address has changed within the last 12 months, previous home address details are required
- Proof of Income - 3 pay slips from the previous months
- If you are self-employed, we will require the name of your business and proof of ownership from the HMRC or an Accountant
Identity Verification
In order to manage our insurance risk and combat fraud we may conduct a search and check on the personal details you have provided using identify verification services provided by credit reference agencies and counter fraud services provided by Verius Risk Solutions.
The identity verification services we use may involve soft searching your credit file. Soft searches will not impact your credit rating or affect the way lenders see you in any way. You may see these soft searches as 'footprints' on your credit report in either our name, Verius Risk Solutions or the name of one of the credit reference agencies that we work with.
Where the application is in the name of a company, company ID in the format outlined above is required. A credit check will be undertaken by First Automotive.
The hirer will be required to present the original ID on collection or Delivery of the vehicle.
Price
Price remains valid up to a maximum rental period of 24 months after which the advertised rate, at that time, will apply.
Excess mileage charges will apply at the prevailing rate over & the 10000 per annum allowance.
Payment Terms
Payment is required by Bank Transfer (BACS)
- Cash, cheque and credit cards are not accepted.
- Payment must be made on the due date. If funds are not available when payment is requested an email will be sent advising of this. If payment is not made on the date payment is due, a late payment charge of £25 + VAT per day, for each day that payment is not made, will be added to the amount due
- Failure to make payment within 3 days of the payment being due may lead to First Automotive terminating the hire and requesting the immediate return of the vehicle.
- Persistent failure to make payment on the date due (i.e. for more than 1 month) may lead to First Automotive terminating the hire and requesting the immediate return of the vehicle. It may also restrict the make and model of vehicle that is available to be hired.
- In the event that the vehicle is returned earlier than the date originally agreed, no refund will be made.
Insurance
First Automotive Automotive offers fully serviced comprehensive insurance cover with one of our trusted partners. You can choose to opt out of this cover, if so vehicles must be covered by your own fully comprehensive insurance policy at all times during the hire and insurance details must be notified and accepted by First Automotive Automotive within 7 days of Collection / Delivery while under First Automotive Auto 7-Day Courtesy Insurance Scheme.
- The excess on the insurance policy must not exceed £1000
- The insurance policy must have a minimum annual mileage of at least 8,000 miles
- Any additional drivers covered on the insurance policy must be notified to First Automotive before the start of the hire and copies of their licences provided to First Automotive so that standard rental checks can be carried out
- The insurer must be notified of First Automotive's requirement, as the registered keeper of the vehicle, to validate the policy details with them. The hirer is required to provide the required consents to the insurer for First Automotive to obtain this information
- The hirer may not change insurers, or change any terms of the insurance, including excess level or additional driver cover without notifying First Automotive
Deposit
A deposit will be taken a maximum of 7 days in advance of the pickup date and refunded within 10 working days after the end of the rental when vehicle is returned providing the vehicle is returned full of fuel and undamaged and there are no outstanding amounts against the rental.
- Should the excess on the insurance policy provided by the customer exceed the deposit First Automotive reserves the right to request an increase on the deposit to match the customer's liability on the policy.
- In the event that the hirer does not accept delivery of the vehicle within 24 hours of the agreed time the deposit will be returned subject to deduction of one month's rental charges
Fines & Penalty Payments
If First Automotive is notified of any fine or penalty relating to the use of the vehicle during the period of hire, details of the hirer will be provided to the enforcing authority for the purpose of transferring the liability for the fine or penalty.
Overseas Use
Unfortunately, we are not allowing our vehicles to go overseas at this time.
Mileage
Monthly mileage may not exceed the amount agreed in the application. In the event that excess mileage is covered, the charge indicated in the application will apply.
- The hirer will be contacted monthly to provide an accurate, current mileage for the vehicle to First Automotive and must do so on request. Failure to provide mileage updates may lead to the termination of the hire agreement.
- First Automotive reserves the right to terminate a hire if the monthly mileage covered is considerably in excess of the agreement made.
The mileage allowance stated within this application supersedes the mileage allowance stated within the rental agreement.
Maintenance and breakdown
Rates include routine maintenance and roadside assistance cover. Items excluded (and therefore will be charged to the hirer) include but are not limited to:-
- Damage induced by using the wrong fuel
- Damage induced by lack of oil, water, Adblue or other consumable
- Breakdown call-out fees for customer-induced faults (e.g. flat battery, keys locked in vehicle)
- Missed services, including M Services and costs associated with this.
It is the hirers responsivity to ensure the vehicle is kept in a legal and road worthy condition during the life of their rental.
Fuel Policy
All vehicles are supplied with a full tank of fuel at the start of the hire. The hirer may return the vehicle full at the end of the rental, or return the vehicle part full and be charged for missing fuel at the end of the rental at the locally determined price.
Cancellation & no show Policy
If the reservation is cancelled less than 7 days before the rental start date the hirer will be liable for one month's hire charges.
If the vehicle is not collected within 24 hours of the agreed start time ('no show') the hirer will be liable for one month's hire charges.
Rental period & Termination
The hire period is agreed at the start of the rental. In the event that the hire terminates before the anticipated end date, an adjustment to the rental rate (reverting to the rate applicable to the length of hire) will be made prior to any refund of deposit. If the hire terminates during the first month of hire the full 1 month rental will be held by First Automotive.
First Automotive will contact the hirer shortly before the end of the hire period to discuss options for a further hire and this may be at a different rental rate.
First Automotive reserves the right to terminate the rental if monthly rental payments are not made on the due date or any other terms of rental are breached.
In the event that the rental is terminated by First Automotive, the vehicle must be returned to a First Automotive depot immediately. The hirer will remain liable for rental charges (calculated on a daily basis) up to and including the day the vehicle is returned to a First Automotive depot.
Rental period
You will have the vehicle for the rental period shown in your Reservation Confirmation. If you do not bring the vehicle back on time, or if you do not contact us and get our agreement to an extension of your rental, you are breaking the conditions of this agreement. We can charge you for every day or part-day you have the vehicle after you should have returned it to us. Until we get the vehicle back we will charge you the daily rate specified on the rental agreement when you collect the vehicle. First Automotive reserves the right to changeover any vehicle with reasonable notice of doing so (in most cases this would be 5 days)
Rental Agreement
You will be asked to sign a Rental Agreement in advance of vehicle delivery.
Complaint Procedure

Receipt of a complaint will be acknowledged within 1 working day. The Complaint will then be investigated by the Customer Service team and where possible a decision reached. Further information may be required to enable the decision making process. A decision will be communicated to you within 5 working days.
